Role Overview

The Logistics Coordinator – Oil & Gas is responsible for planning, executing, and optimizing the movement of fuel products across the supply chain — including bulk deliveries, depot transfers, customer orders, and aviation fuel logistics. This role ensures on-time, compliant, and cost-effective transportation while maintaining close coordination with internal teams, drivers, and customers.

The ideal candidate is a highly organized and detail-driven professional with a solid understanding of petroleum logistics, route optimization, and regulatory compliance. The role is mission-critical to maintaining service reliability, product accountability, and operational excellence.

Roles & Responsibilities

A. Fuel Dispatch & Delivery Coordination

  • Plan and dispatch daily fuel deliveries in line with sales orders, customer schedules, and inventory availability.
  • Assign drivers and vehicles based on delivery urgency, load capacity, and route efficiency.
  • Track fuel truck movement, ETA updates, and ensure timely, error-free deliveries.
  • Liaise with depot and terminal staff to ensure accurate product loading, sealing, and documentation.

B. Transport Operations Oversight

  • Monitor fuel truck fleet availability, condition, and regulatory readiness (inspection, licenses, insurance).
  • Coordinate with workshop and maintenance teams for vehicle servicing and repairs.
  • Ensure that vehicle logbooks, fueling records, and journey logs are accurately completed.
  • Maintain a digital or manual tracker of fleet movements and delivery KPIs.

C. HSSE & Regulatory Compliance

  • Ensure all fuel transportation activities comply with HSSE policies, petroleum regulations, and road safety standards.
  • Support driver training and toolbox talks on safe fuel handling, emergency response, and defensive driving.
  • Maintain compliance records including fuel permits, hazmat certifications, driver licenses, and audit documents.
  • Report incidents, near misses, and delivery exceptions in accordance with HSSE protocols.

D. Inventory & Documentation Control

  • Reconcile delivery notes, loading sheets, and fuel receipts from each completed trip.
  • Verify quantities dispatched vs. quantities received by customers or sites.
  • Assist in maintaining real-time inventory levels at depots and track in-transit stock.
  • Prepare daily logistics reports, trip summaries, and fuel variance analyses.

E. Stakeholder Coordination & Communication

  • Serve as the key link between sales, operations, drivers, and customers to ensure delivery expectations are met.
  • Resolve delivery delays, route challenges, and client concerns in a timely, professional manner.
  • Update customers on delivery status and proactively manage communication on any changes.
  • Support onboarding of new logistics vendors or transport partners when needed.
Qualification
  • Bachelor’s degree or Diploma in Logistics, Supply Chain Management, Transport Operations, or a related field.
  • Minimum of 4–6 years’ experience in logistics or fleet coordination, with at least 2 years in oil & gas or FMCG delivery operations.
  • Strong understanding of fuel delivery compliance, truck routing, and inventory reconciliation.
  • Proficient in dispatch software, fleet tracking tools, and Microsoft Excel.
  • Excellent planning, communication, and multitasking skills.
  • Knowledge of driver management, road transport regulations, and HSSE is required.
