Key Responsibilities
1. Rent Collection & Recovery
Monitor and track tenant payments on a daily, weekly, and monthly basis.
Engage directly with tenants to follow up on outstanding rent via phone calls, physical visits, and digital reminders.
Implement debt recovery plans and structured payment schedules for tenants in arrears.
Maintain and update tenant accounts, flagging defaulters and advising on next steps.
2. Delinquency Mitigation & Legal Coordination
Generate and organize lists of tenants based on the severity of delinquency.
Serve demand letters and legal summons for defaulting tenants where necessary.
Collaborate with legal officers, chiefs, and enforcement officers to escalate chronic defaulters.
Provide field reports and evidence to support legal processes.
3. Estate Oversight & Team Supervision
Supervise estate agents and cleaners assigned to your estate block and compile their weekly reports.
Conduct physical visits to estates to verify tenant presence, lease compliance, and recovery efforts.
Lead daily morning briefs with collection and field teams to align on collection priorities and routes.
4. Tenant Data Management
Confirm and update tenant information including next of kin, phone numbers, lease terms, and property status.
Conduct skip tracing to locate tenants who have vacated or changed contacts.
Review and interpret lease agreements to determine obligations and enforce terms.
5. Reporting & Systems Use
Submit daily, weekly, and monthly collection reports to management.
Prepare strategies, proposals, and presentations for improved recovery performance.
Maintain diligent use of assigned devices (phones, tablets) and software systems for tracking rent payments.
Ensure tenant data and financial records are updated in the rental management system.
6. Internal Collaboration
Work closely with the cashier, estate supervisors, legal team, and client relations team to support integrated collection workflows.
Offer insights to the Finance and Property teams to improve landlord reporting and cash flow predictability.
Role Summary
The Credit Controller plays a pivotal role in securing consistent rental income for landlords through proactive rent collection, arrears recovery, tenant engagement, and credit risk mitigation. This role combines field enforcement, systems tracking, account reconciliation, and cross-functional coordination to achieve 100% rent collection.
